To control access to a Power Platform environment effectively, utilizing a security group is the most appropriate approach. Security groups allow for a streamlined method of managing user permissions and access by grouping users who share similar access needs. When associated with Microsoft 365 or Azure Active Directory, these groups can efficiently manage who has access to the different resources and capabilities within the Power Platform environment.
By assigning roles and permissions to security groups rather than individual users, administrators can ensure consistent access control and easily manage changes as team members come and go. This is particularly advantageous in larger organizations, where keeping user permissions up to date can be challenging.
While licenses do play a role in determining what a user can do within the Power Platform, they do not directly control access to environments. Sharing allows for collaboration but does not provide a robust mechanism for environment-level access control. Workspaces, often used for Power BI or collaboration, do not inherently manage access to the environment and focus more on content management rather than user access governance. Therefore, leveraging security groups is the optimal strategy for maintaining secure access to your Power Platform environment.
